A sales order groups the commercial information and products sold to a customer. Once saved, it is the starting point for stock tracking, manufacturing, shipments and invoicing.

Prerequisites

Before creating the order, prepare the following when needed:
  • the customer record, including contacts and addresses;
  • the articles sold, including their sales price and VAT rate;
  • the site handling the order; and
  • the sales process used by your team.
You can also configure printable templates to produce a quote or sales order confirmation.

Create the order

  1. Open Sales, then Sales orders.
  2. Create an order.
  3. Enter its reference, customer, site and relevant dates.
  4. Review the main contact, shipping and billing addresses, payment terms and currency.
  5. Add the ordered articles and quantities.
  6. Save the order.
The contact, addresses, payment terms and currency can be filled automatically from the customer record. You can change them on the order without changing the original customer record. Use Customer order reference to retain the order number supplied by the customer. Shipping date is the expected date on which the products leave your site.

Complete the lines

For each line, select the article and enter the quantity. Bonx uses the sales price, commercial description and VAT configured on the article. You can then adjust them for this order. A line can also contain:
  • a specific description; and
  • the variant breakdown for a template article.
Bonx calculates the amount excluding tax for each line, then the order totals excluding and including tax.

Sell a configurable article

In Bonx, a configurable article is represented by a parametric template article. It groups the attributes to select, such as the size and color of a garment.
  1. Select the template article on the order line.
  2. Add one variant for each combination ordered.
  3. Select a value for every attribute.
  4. Enter the quantity of each variant.
Bonx automatically calculates the total line quantity. When you save, it links each combination to an existing variant or creates the missing variant. The commercial documents retain the quantity breakdown by variant.

Configure parametric articles

Create the attributes, values and variants available for sale.

Apply discounts

You can apply a fixed or percentage discount:
  • to a line, reducing only the amount for that article; or
  • to the order, reducing the total after line discounts.
Bonx recalculates the amounts excluding tax, VAT and the total including tax. The invoice created from the order then inherits these discounts.
Review prices, VAT and currency before starting preparation. These values will be carried over when creating the invoice.

Track preparation

The order follows the sales process configured in your workspace. The Progress tab shows the current step and the operations and tasks to complete. Use the actions menu to choose another process when the order needs a different workflow. Depending on your configuration, the other tabs let you:
  • schedule order operations;
  • review availability and stock picking;
  • view files and history;
  • launch manufacturing orders from the Manufacturing tab; and
  • find linked shipments and invoices.

Launch manufacturing

When products need to be manufactured, open the Manufacturing tab. Bonx calculates requirements from the order lines and the articles’ bills of materials. Select the relevant products, then launch the manufacturing orders. The new orders remain linked to the sales order so you can track their process, site and progress.

Generate commercial documents

Available templates appear in the order’s print actions. Select, for example, Estimate or Sales order to generate the corresponding PDF with the saved information and lines.

Reuse an order

Select Duplicate from the actions menu to prepare a new order from an existing one. Bonx copies the commercial information and lines, then asks for a new reference. The process and identifiers from an integration are not copied.

Issue invoices

Create a full invoice, deposit or balance from the order’s Invoicing tab.
