Configure the information used on every invoice before creating your first draft. These settings feed validation checks, the PDF, electronic formats and accounting exports.

Complete the invoicing data

An invoice created from an order inherits its site, customer, addresses, payment terms and currency. You can adjust them while the invoice is a draft. The number format contains the required {ID} counter. It may also include {YYYY}, {YY}, {MM} and {DD}. You can set:
  • the starting value, including during a migration;
  • counter padding from 0 to 12 digits;
  • a continuous, yearly or monthly sequence; and
  • the fiscal-year start for yearly sequences.
A yearly sequence includes the year in its format. A monthly sequence includes the year and month. Bonx previews the next number before you save.
Confirm the format before issuing the first invoice. Bonx locks the sequence configuration after assigning the first legal number to preserve continuity.

Create invoice templates

Each template can define:
  • an internal name;
  • the document title;
  • free text;
  • a footer for additional legal wording; and
  • a fixed language or the language of the person generating the PDF.
The editor shows an actual PDF preview. You can duplicate a template and limit it to selected sites. The template selected on the draft is retained when the invoice is validated.

Prepare currencies

The invoice inherits the order currency. Add an active exchange rate when it differs from the workspace’s default currency. Bonx freezes the rate at validation. The issued document and indicators converted into the default currency retain the value used at issue time.

Configure deposits

Select the article used on deposit invoice lines. Bonx uses it to generate one line per VAT rate containing the description, calculation basis and corresponding VAT.

Issue invoices

Use these settings to create a standard, deposit or balance invoice.
