The sales order is the recommended starting point for customer invoicing. Bonx reuses its commercial data and keeps every ordered, shipped and invoiced line connected.

Track invoicing on the order

The order’s Invoices tab displays:
  • the ordered total including VAT;
  • the validated invoiced amount;
  • the draft amount for information;
  • the remaining amount; and
  • every invoice linked to the order.
A draft joins the invoiced amount after validation. Invoices in another currency are displayed separately to keep totals consistent.

Invoice the complete order

A standard invoice copies the customer, site, addresses, currency, payment terms, lines, prices, VAT rates and discounts. Article variants can become separate invoice lines while retaining their source link. After validation, Bonx marks the order as invoiced. It checks the order again whenever another draft is validated so it always uses the latest situation.

Invoice shipped products

Select one or more shipments to invoice delivered products only. Bonx uses the shipped quantities and the price and VAT from the corresponding order line. Once linked to an invoice, a shipment leaves the selection. The retained link can also pass lot and expiry information to compatible integrations.

Create a deposit invoice

Define a deposit as either:
  • a percentage of the discounted order subtotal; or
  • a fixed amount excluding VAT.
Bonx previews the subtotal, VAT and total, then creates one deposit line per VAT rate of the order. If you change its calculation basis in the draft, Bonx recalculates the lines, description and totals from the order. For an order containing several VAT rates, the deposit is split between them in proportion to their taxable bases, so each rate carries its own share of the VAT.

Create the balance invoice

The balance invoice becomes available after at least one deposit is validated. It contains all order lines, a negative line for each VAT rate of each validated deposit and the remaining net amount. Before creation, Bonx displays the order total and each deducted deposit. The first validated balance invoice that uses a deposit reserves that deduction.

Review the draft

Open the generated invoice and check its addresses, dates, payment details, lines, VAT, discounts and document template.

Manage the invoice lifecycle

Complete the draft, then let Bonx perform the checks and issue the invoice.
