Who manages what?
Bonx does not create, rename or deactivate accounts in the accounting software.
Change a ledger account, VAT code or auxiliary account there, then let the next
sync bring the update into Bonx.
Sales invoice flow
- Bonx imports customer accounts, the chart of accounts, VAT codes and any available analytic dimensions.
- In Bonx, you configure the rules that map each accounting family and customer tax regime to a sales account, then each tax regime and VAT rate to a VAT code.
- You prepare the invoice in Bonx. While it is a draft, you can change its content and correct its accounting data.
- On validation, Bonx checks and freezes the customer account, sales account and VAT code for each line.
- Bonx sends the validated invoice to the accounting software. That software records the entry and handles its electronic transmission.
Cases to check before validation
- Customer without an accounting account: sync or activate its auxiliary account in the accounting software.
- Missing or inactive sales account: complete the sales rule for the relevant accounting family and customer tax regime.
- Missing or inactive VAT code: map the Bonx VAT rate to an active sales VAT code.
- Several applicable rules: keep only one active rule for each accounting family–tax regime pair, and one for each tax regime–VAT rate pair.
- No analytic allocation: the invoice can still be exported, but no analytic distribution is sent.
